The Challenge

Wellvene approached Mearns & Gill with a vision: to create a bigger and better WellConnected event for 2025, a premier industry event that would advance well intervention solutions through meaningful collaboration. The client's objective was clear - they wanted to move beyond traditional industry events to create "a mechanism for positive change in well intervention technologies and methodologies."

The challenge was multifaceted:

  • Attract and engage 200+ well intervention professionals from across the UK and international markets
  • Balance serious business networking with an enjoyable, relaxed atmosphere
  • Coordinate multiple elements: interactive technology demonstrations, live presentations, charity initiatives, food vendors and evening entertainment
  • Create an environment where partnerships could form and innovative ideas could form
  • Manage logistics including venue setup, exhibitor coordination and shuttle bus transportation

Our Approach

Mearns & Gill developed an event management strategy centred on the theme "Advancing Well Solutions Together." Our approach focused on creating seamless integration between all event elements while maintaining the balance between professional development and enjoyable experiences.

Strategic Planning:

  • Collaborated closely with Wellvene to understand their core objectives and industry-specific requirements
  • Developed a comprehensive timeline covering all phases from initial planning through post-event follow-up
  • Created detailed logistics plans for venue setup, exhibitor coordinationn and attendee flow management

Experience Design:

  • Designed an interactive exhibition space that encouraged hands-on engagement with cutting-edge technologies
  • Coordinated live technology demonstrations to showcase real-world applications
  • Integrated charitable elements through partnership with Cash for Kids, including a Mario Kart tournament

Vendor Coordination:

  • Sourced and managed local food vendors (Quayside Fish and Chips, Shipyard Street Food) to enhance the local experience
  • Arranged premium evening entertainment including live music, gourmet BBQ and specialty beverage tastings
  • Coordinated shuttle transportation services to manage parking logistics

On 29th May 2025, our comprehensive planning came to life through thorough execution across all event phases.

Pre-Event Setup:

  • Managed marquee installation and exhibitor stand setup
